Vacancy: HR, Administrator & Bookkeeper

Location: Klein Windhoek; Windhoek

Reports to: Finance & Admin Manager / Managing Member

Position Overview 

We are seeking a detail-oriented and reliable HR, Administrator & Bookkeeper to manage the  organization’s human resource administrative functions, and to provide support to the financial  accounting function of the company. This role is responsible for maintaining effective HR operations,  payroll and pension fund administration, statutory compliance, and accurate financial record-keeping. 

Key Responsibilities 

Human Resource Administration 

• Maintain confidential employee records and contracts. 

• Manage onboarding and offboarding processes. 

• Coordinate recruitment activities and interviews. 

• Support performance reviews and HR documentation. 

• Track leave, disciplinary records, and grievance documentation. 

• Assist with HR policies and employee wellness initiatives. 

Payroll & Pension Fund Administration 

• Process monthly payroll with accurate statutory deductions. (Sage Pastel Payroll) • Administer pension fund and medical aid contributions. 

• Maintain employee leave, loan, and timesheet records. 

Bookkeeping 

• Record daily financial transactions and maintain accurate ledgers (Sage Pastel Partner). • Perform monthly bank reconciliations. 

• Manage accounts payable and receivable, including invoicing and follow-ups. • Prepare aging reports and reconcile supplier statements. 

• Ensure compliance with Namibian statutory requirements (PAYE, VAT, Withholding Tax,  Social Security, VET Levy, Import VAT). 

• Prepare and submit payroll, tax, and pension contributions. 

General Administration 

• Support procurement and office administration. 

• Maintain organized soft copy and hard copy filing systems. 

• Liaise with staff, suppliers, project managers, banks, and regulatory bodies.

Requirements 

• Must be a Namibian citizen 

• Valid Drivers license code B 

• Degree in Human Resource Management. 

• Minimum 5 years proven experience in a HR role. 

• Additional qualification and experience in bookkeeping would be an added advantage. • Strong knowledge of Namibian tax and labour legislation and statutory submissions (ITAS,  NTA, Social Security).  

• Experience in Sage Pastel Payroll 

• Experience in Sage Pastel Partner would be an added advantage. 

• Excellent attention to detail, organizational, and communication skills. 

• Ability to handle confidential information with discretion.
